Managing Your Knowledge Base

Upload reference documents AI can draw on for accurate, brand-specific content.

The Knowledge Base (Brand Kit → Knowledge Base) stores documents (PDFs, Word files, and plain text) that AI Writer can reference when generating content, so output stays accurate to your real materials instead of generic knowledge. Each document is indexed into a searchable form before AI can use it.

Uploading a Document

Click Upload document and drag a file into the dropzone, or click to browse. Accepted formats are .docx, .pdf, and .txt, up to 5 MB — other formats or oversized files are flagged before you can save.

Document Status

Each row shows a status badge as it moves through indexing: UploadedIndexing (queued or processing) → Indexed (ready for AI to use) or Index Failed. A document you've manually turned off shows Not indexed.

  • Indexed — AI Writer can reference this document's content.
  • Index Failed — processing hit an error; use Reindex (the circular-arrow icon) to retry.
  • Not indexed — indexing was turned off on purpose; use Reindex to turn it back on.

Turning Indexing On/Off

On an Indexed document, click the power icon to Unindex it (with confirmation) — its content stops being available to AI, but the extracted text and the file itself are kept, so you can turn it back on anytime. On a Failed or Not indexed document, the same button shows a circular-arrow Reindex icon that re-queues it without confirmation.

Finding Documents

Use the search box to filter by filename, or the sort button (top-right) to order by upload date (newest/oldest first) or filename (A–Z/Z–A). An active-filters summary appears when a filter is applied, with a "Clear all" link to reset.

Viewing & Removing Documents

Click any row (or the eye icon) to open a preview drawer showing the document's extracted text and metadata — this is only available once a document is Indexed or Not indexed; Failed documents show an error state instead, and mid-flight documents show a loading state. Click the trash icon to delete a document (with confirmation).

Keep files under 5 MB and in .pdf, .docx, or .txt format. Other formats are rejected on upload.

Upload authoritative source material (product docs, policies, research) rather than marketing copy. AI already has your Writing Style for tone.

If a document shows Index Failed, check that it's a genuine text-based PDF/DOCX/TXT (not a scanned image) before retrying with Reindex.
