Managing Topics, Keywords & Prompts (Customer Questions)
Explain how topics, keywords, and prompts work together, and the three ways to add each one: AI suggestions, manual entry, and bulk file import.
Topics, keywords, and prompts are the foundation of your project. Open them from the sidebar at Content Studio → Topics & Keywords, or jump there directly below. From there you can drill into any topic to manage its keywords and prompts.
How They Connect
These three layers form a hierarchy. Topics are the broad subjects you want to win, keywords are the search terms tied to each topic, and prompts are customer-style questions used to scope and target content.
- Topics: the subjects your brand should appear for (e.g. "Email marketing tools for ecommerce"). Live under your project.
- Keywords: search terms attached to a topic (e.g. "klaviyo", "mailchimp", "abandoned cart"). Used to scope content and link to prompts.
- Prompts: customer-style questions (e.g. "What's the best email marketing tool for Shopify stores?"). Each prompt belongs to a topic and can be linked to one or more keywords.
Three Ways to Add Anything
Every layer can be filled in three ways, and you can mix them freely. Most users start with AI Generate to bootstrap a baseline, then refine manually and import from a spreadsheet when migrating from another tool.
- AI Generate / Suggest: the platform uses your brand profile, domain, and existing topics to propose new items. Fastest way to get started.
- Manual entry: type or paste items one by one through the Add modals. Best for fine-tuning or adding a small number of items you know you want.
- Bulk import (Excel/CSV): upload a spreadsheet to create topics, keywords, and prompts in one go. Best for migrating from another tool or seeding a new project at scale.
Adding Topics
Open Content Studio → Topics & Keywords and click Add Topic. The modal supports both AI generation and manual entry.
- AI Generate: click Generate Topics in the orange panel at the top of the Add Topic modal. The system reads your brand profile and proposes a set of relevant topics, each with a suggested alias and description. Edit anything before saving.
- Manual: type a topic name; the alias auto-fills but you can override it. Click Add another to enter several topics in one save.
- Paste many at once: copy a list from a doc or spreadsheet, separate entries with new lines or semicolons (;), and paste into the topic name field. Each line becomes its own row.
- Bulk import: use the Import button on the Topics toolbar to upload an Excel/CSV file. See Bulk Import from Excel or CSV below.

Adding Keywords
Click a topic row to open it, then go to the Keywords tab and click Add Keyword. The modal handles both manual entry and AI suggestions in one place.
- Manual: type a keyword in the input field and press Enter (or paste a list separated by new lines / semicolons). Each entry becomes a removable tag in the Keywords to add area.
- AI Suggestions: the modal auto-loads suggestions for the current topic when it opens. They appear as chips below the input. Click any chip to move it into Keywords to add. Click the Refresh link to request a fresh batch.
- Save: click Save Keywords to create all pending tags at once. They become available immediately to link from prompts in the same topic.
- Bulk import: keywords also ride along inside the same Excel/CSV used for topics. Put them in the keywords column on the Topics sheet, comma-separated. See below.

Adding Prompts
Open a topic and switch to the Prompts tab, then click Add Prompt. The modal has two tabs: Create (manual) and AI Suggestions.
- AI Suggestions tab: shows prompts the platform has pre-generated for the selected topic. Approve a suggestion to start tracking it, or reject it to dismiss. Click Suggest More to request a fresh batch.
- Create tab: type your own prompt content, pick a category, and optionally link keywords from the topic. The keyword links are used to score how often your prompts cover your target terms.
- Bulk import: prompts go on the Prompts sheet of the same Excel/CSV file. See below.

Prompt Suggestions (AI)
The AI Suggestions tab inside the Add Prompt modal shows prompts the platform has pre-generated for the current topic. Approve them with one click to start tracking, or click Suggest More to request a fresh batch.

Prompt Categories
Every prompt belongs to one of four intent categories. Choosing the right category helps organize your prompts by stage in the buying funnel.
- Informational: users are learning about a topic. Definitions, explanations, guides, "what is …" questions.
- Commercial: users are comparing options before buying. "Best …", "X vs Y", reviews, feature comparisons.
- Transactional: users are ready to act. Pricing, signup, free trial, "buy …", "download …".
- Navigational: users are looking for a specific brand or page. Official site, pricing page, login, dashboard.
Bulk Import from Excel or CSV
On the Topics page, click the Import button to open the bulk import wizard. It walks through three steps: Upload → Preview → Result. The whole import is a dry run: nothing is created until you click Confirm Import on the preview screen.
- Click Download template at the top of the upload step to get a pre-filled .xlsx. The template has three sheets: Topics, Prompts, and Reference (lookup of prompt types).
- Topics sheet: columns topic_name and keywords. Put one topic per row. Keywords are comma-separated in the same cell.
- Prompts sheet: columns topic_name, prompt_content, prompt_type (optional). Use topic_name to attach each prompt to a topic from the Topics sheet (or to an existing topic by name). prompt_type must be one of: Informational, Commercial, Transactional, Navigational.
- Preview screen: shows exactly how many topics, keywords, and prompts will be created vs. reused vs. skipped. Matching is case-insensitive on name/content, so re-uploading the same file is safe.
Accepts .xlsx or .csv only, up to 5 MB and 1,000 total rows per upload. The preview also expires after 30 minutes; re-upload to start over if you wait too long.

Bulk Import: Preview Before Confirming
After you upload the file, the Preview step shows a dry-run breakdown: how many topics, keywords, and prompts will be created, how many already exist and will be reused, and how many duplicate rows inside the file will be skipped. Nothing is written until you click Confirm Import.

Editing & Removing Items
Once items are created, you can edit them inline from the same pages.
- Topics: edit name, alias, description, and toggle Monitoring or Auto-generate from the topics table. Select rows and click Delete Topics to remove in bulk.
- Keywords: search, select, and bulk-delete from the Keywords tab inside a topic.
- Prompts: open a prompt to edit its content, category, or keyword links, or disable/delete it.

Start with AI Generate for the first wave, then refine manually. It gives you a solid baseline in minutes without locking you into the AI's choices.
Aliases on topics drive how the topic appears in URLs and grouping. If you change a topic name later, double-check the alias is still sensible.
When importing a spreadsheet, leave prompt_type blank if you're not sure. The system stores it as null and you can categorize later.
